Job Summary
We are seeking a talented Receptionist / Bookkeeper to join our team.
In this role, you will work closely with the professional accounting staff and management team members in recording, reconciling and auditing accounting data and ensure the company’s compliance with all legal requirements.
Your responsibilities will include recording and verifying transactions, balancing our accounting books, and managing our Quickbooks account.
The ideal candidate is detail-oriented, highly organized, and has a strong understanding of best practices in accounting.
Responsibilities
Greet clients, visitors and guests as they enter into office
Provide information regarding products, services, issues and complaints
Schedule, reschedule and cancel appointments
Answer telephone calls and transfer calls to the appropriate person
Respond to emails and office correspondence
Update employee attendance and visitors’ records
Assist visitors in filling out forms
Perform bookkeeping, data entry and filing activities
Create invoices, quotes and word orders using Quickbooks account
Perform light maintenance on office equipment
Keep work area clean and tidy on a constant basis
Sort and distribute incoming mail
Assist in resolving clients’ issues and complaints
Manage and stock inventory of office supplies and equipment
Order supplies and equipment when required
Schedule staff appointments with clients or company representatives
Liaise between departments and provide clerical support
Qualifications
High school diploma or GED /or higher.
Good with spreadsheets, experienced in Microsoft Excel, QuickBooks, and basic accounting systems
Excellent attention to detail, time management, and communication skills
Other Desired Qualifications
Previous experience as an receptionist, bookkeeper, or similar position
Bilingual (Spanish) speakers are encouraged to apply
Experience with Cold Calling a plus
