Our medical practice has three medical offices, which are located in Santa Ana and Anaheim.
The medical practice provides preventive medicine, sick and urgent care services seven days a week.
We’re affiliated with over 10 health plans and serve over 16,000 patients providing thousands of visits a year.

We are looking to a new Medical Assistants (Back Office) for our weekday shift (no weekends required).
The schedule will be Monday – Friday 10:00am – 7:00pm (Mid-Day Shift) and one day a week of doing a closing shift from 12:00pm - 9:00pm.
*JOB DESCRIPTION:*
The Medical Secretary position involves managing administrative tasks in a pediatric office setting.
Responsibilities include coordinating communication between patients, doctors, and pharmacies, organizing patient records, handling urgent lab results, and managing office logistics.
The role requires strong organizational skills, excellent communication abilities, attention to detail, and proficiency in standard office software.
The ideal candidate should be capable of working independently or collaboratively with medical professionals to support the smooth operation of the office.
*ESSENTIAL RESPONSIBILITIES:*
* Review and manage incoming faxes, ensuring timely distribution to relevant departments, offices, and/or Providers.
* Respond to phone calls from operators, providing assistance or routing calls appropriately.
* Supervise and manage email communications.
* Record messages in person and over the phone for doctors as necessary, ensuring effective relay.
* Collaborate with doctors to convey patient medical advice and facilitate effective communication.
* Organize and distribute incoming mail to the appropriate recipients.
* Collect and organize patient documents, scanning them for record-keeping purposes.
* Coordinate with pharmacies to process prescription requests and refills as directed by providers.
* Confirm that forms or prescriptions distributed to Providers rightfully correspond to them, and they were the ones who addressed the patients' primary concerns.
* Manage urgent patient lab results in coordination with providers and communicate next steps to parents/patients.
* Routinely distribute provider folders and maintain the exchange box, ensuring it is ready by 9:30 am and 5:00 pm daily.
* Review voicemails, emails, NextGen tasks, and document scanning throughout the day.
* Monitor pending school form requests, complete the necessary portions, and ensure provider completion before notifying parents that the forms are ready for pickup.
* Create encounters on the PHI log for all forms or documents requiring attention, including those received via email and fax
* Handle sensitive information with confidentiality, maintaining a high level of professionalism in all interactions.
* Perform other related duties as assigned or directed to support the smooth operation of the pediatric office
*REQUIREMENTS:*
* Medical Assistant Certificate
* High School Diploma or GED
* Bilingual (English / Spanish)
* Demonstrated strong organizational and multitasking abilities.
* Excellent verbal and written communication skills.
* Ability to collaborate effectively with medical professionals and support staff.
* Keen attention to detail in managing various administrative tasks from staff and providers.
* Proficiency in utilizing standard office software such as Microsoft Word and Excel.
* Capable of working autonomously or collaboratively with providers and medical staff.
*PREFERRED:*
* 6 months previous Medical Assistant experience
* Knowledge of insurance plans
* Experience with NextGen or similar Electronic Medical Records system
* Medical Terminology
