JOB TITLE: Data & Grant Assistant
LOCATION: Aliso Viejo, CA
REPORTS TO: Contract Administrator
POSITION IS: Non-exempt
HOURS: 24 Hours/Week
JOB SUMMARY:
Assists the Contract Administrator in the direct support and daily operations in the management of agency data and grant related contracts.
Primarily responsible for data collection, analysis, and distribution in addition to grant invoicing/reporting and contract compliance.
JOB DUTIES:
Data Assistance:
Oversee and ensure completion of data entry and tracking of Laura's House services into the organizations CRM software (OS Data Base and Summary Reports) and track performance outcomes for all departments.
Data Base system management to include: training and assistance to staff as needed, identifying data deficiencies or errors, ensuring data integrity and security.
Proactively oversees and audits database to ensure data integrity at all times.
Ability to analyze and interpret statistical data, using Excel.
Prepare monthly reports for department managers.
Analysis of agency wide programs quantitative and qualitative outcomes.
Contract/Grant Assistance:
Prepare invoices for reimbursement of services rendered and maintain invoice and reporting binders for those contracts.
Lead, assist, and facilitate fiscal monitoring of contracts by verifying all required documentation is complete, accurate and submitted in a timely manner.
Prepare invoice and accounts receivable forms for Finance Department.
Track and manage contract budgets and expenditures and ensure that contract obligations are being met.
Complete quarterly and yearly grant performance reports as assigned.
Assist with grant writing and application process that includes reviewing RFPs and RFAs and providing feedback that support and enhance the goals and objectives of Laura's House.
Evaluate program compliance for assigned grants and communicate any issues with Contract Administrator.
Maintain agency wide program related Memorandums of Understanding and/or Operational Agreements.
ADDITIONAL RESPONSIBILITIES:
Maintains all clients, financial, staff, volunteer and other appropriate information as confidential in nature.
Update, maintain, and improve upon this position's procedure manual/SOP.
Maintain review and response to email/mail correspondence and follow-up as required.
Coordinate with Administrative Assistant in providing front office coverage for lunch or meetings as needed.
Assist Contract Administrator and department Directors with projects as needed.
EDUCATION AND EXPERIENCE:
Minimum of 2 years administrative or contract administration experience required.
Bachelor's Degree (preferred) or any combination of applicable work experience and education to perform the duties listed successfully.
Experience working with non-profit funding including government contracts, preferred.
Upon hiring, attend and complete the State Certified 40-hour Domestic Violence training.
JOB SKILLS AND QUALIFICATIONS:
Tech Savvy and proficient in Microsoft Office.
Specifically Outlook and Excel.
Strong organizational skills, including effective time management, the ability to make decisions independently and in collaboration with staff across departments and external partners.
Ability to solve practical problems in a quick and timely manner and interpret a variety of instructions furnished in a written or oral form.
Demonstrated ability to manage detailed reports and the ability to calculate figures add amounts such as discounts, interest, proportions, percentages, and knowledge of basic accounting principles.
Critical thinking - ability to define problems, collect data, establish facts, and draw valid conclusions.
Employee is occasionally required to stand; walk; sit; use hands to feel and handle; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; talk or hear; and taste or smell.
The employee must occasionally lift and/or move up to 25 pounds.
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
Valid driver's license and insurance, reliable transportation.
Successfully pass a drug test and background check upon hiring.
