PRIMARY FUNCTION:
Serves as Club receptionist, greeting members, families, volunteers, community group representatives and visitors.
Provides regular clerical and administrative support.
Processes, maintains, and updates all member accounts, files and systems related to payments, membership registration, and demographics at multiple Club locations.
Maintains the membership database and accurately enters all data related to members.
KEY ROLES (Essential Job Responsibilities):
Clerical and Secretarial 45%
Answers phones, provides general information, refers caller to other staff or takes messages as necessary.
Maintains electronic and hard copies of member files, making sure they are accurate and timely.
Facilitates easy retrieval of information.
Provides accurate and timely member data reports to Director of Finance/Admin and other key staff as assigned.
Serves as Club receptionist, greeting all members and visitors and maintains all attendance and visitor logs.
Maintains appearance of front desk area, including bulletins, flyers and promotions.
Performs other related secretarial or administrative duties as needed.
Resource Accounting, Monitoring, and Maintenance 35%
Processes payments and donations following Club guidelines.
Receive and receipt funds according to established procedures and prepare funds for deposit.
Support Community Connections Coordinator with financial assistance requests according to established procedures.
Accepts in-kind donations following Club guidelines and ensures information and items are provided to appropriate staff members.
Administrative 10%
Ensures a productive work environment by participating in staff meetings as needed.
Participates in trainings as assigned.
Performs administrative duties as assigned by supervisor.
Community Relations 5%
Creation and distribution of print and electronic program and marketing materials to Club families and community members.
Assists with planning and implementation of publicity projects that promote goodwill such as information booths, exhibits and community open houses.
Performs other related tasks as assigned.
Prepare Youth for Success 5%
Creates an environment that facilitates the achievement of Youth Development.
ADDITIONAL RESPONSIBILITIES:

Ensure a safe facility for all members, Club staff, and visitors.

Participate in cleaning and maintaining the facility and equipment.
3.
Participate in special programs and/or events.
4.
Adhere to organizational policies and procedures as described in the Employee Handbook, Ethics Policy and elsewhere.
RELATIONSHIPS:
Internal: Maintains close contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain guidelines/instruction; instruct; and advise/counsel.
External: Maintains contact with external community groups, schools, members’ parents/guardians, and others to assist in resolving problems.
SKILLS/KNOWLEDGE REQUIRED:
AA degree/equivalent or 2 years relevant experience.
Must be able to speak Spanish
Advanced Microsoft Office and Excel.
Cash Handling or Accounting experience.
Excellent verbal and written communication.
Ability to deal with the general public.
Ability to work in a loud fast-paced environment.
Strong organization skills and attention to detail.
Ability to work independently.
Experience in working with children or knowledge of youth development preferred.
Mandatory CPR and First Aid Certifications.
Mandatory mandated reporter and abuse prevention training.
Ability to pass a drug and background screening.
Ability to transport oneself between Club locations.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
This position is in a normal internal office environment and loud fast-paced Club environment.
The model Membership Coordinator will thrive in an extraordinarily fast-paced environment that features constant change.
This position requires employee flexibility, patience and ability to problem-solve and innovate.
Employee must be able to work club hours of operation.
This will be a part-time afternoon position.
This position is very active and requires sight, hearing, bending, kneeling, crouching, and may require standing for up to four hours each day, ability to move quickly throughout club facilities, and other physical requirements needed to complete essential functions of the position and other duties as assigned.
The employee must frequently lift and/or move objects up to 10 pounds and occasionally lift and/or move objects up to 35 pounds.
