*JOB DESCRIPTION* *Position Title*: Human Resources Assistant *Departments*: Human Resources & Benefits *Reports to*: Vice President, Human Resources and Benefits *Schedule*: Monday - Friday, Hybrid (after training period) *FLSA Status*: Non-Exempt *General Summary*: Confidential role, primarily responsible for completing timely and accurate Human Resource (HR) related duties in an engaged and enthusiastic manner.
Provides support to all HR functions and positions.
*Essential Job Functions*: * Communicates articulately and proactively within the HR department, across the organization, and with outside candidates and vendors as needed.
Maintains a polite and professional tone and friendly communication style both in-person and in writing.
Ensures that all interactions reflect well on ISYS and align with the organization’s values and philosophy.
* Performs routine administrative HR functions with care and attention to detail.
Cross-checking work to avoid errors and ensure quality.
* Completes recruiting activities including daily monitoring of Applicant Tracking System and “working” email in-box, posting/monitoring job ads, screening, interview scheduling, corresponding with perspective candidates.
Communicates clearly and promptly with candidates on behalf of ISYS and represents ISYS positively, demonstrating our value of excellence.
* Monitors and organizes the Applicant Tracking System and recruiting inbox daily, reviews resumes and applications received to confirm basic qualifications for each job opening, and ensures prioritization is given to the appropriate openings as specified by the HR VP.
* Maintains and updates important HR spreadsheets on a routine basis.
Including tracking employee birthdays/anniversaries, professional certifications, and insurance documents.
* Acknowledges employee’s birthdays and anniversaries on behalf of ISYS and in accordance with department protocol.
* Completes confidential HR filing, within 5 business days or sooner, depending on the urgency of the documentation.
* Executive errands as needed for essential functions.
* Posts routine announcements on company portal, as requested an ISYS Manager or VP and in alignment with culture/brand standards.
* Provides travel coordination and reservation assistance (airfare/hotel/rental car) for prospective candidates or employees, when approved by a ISYS Supervisor, Manager or VP.
* Proactively conducts preparations for company meetings, orientations, luncheons, gatherings or other events of various sizes and locations, at the direction of the HR VP, ensuring all necessary components are in place for a successful event.
* Orders general or unique office supplies as well as food, or other items as approved by ISYS Manager/VP.
Ensures timely and accurate order of business cards and HR annual legal poster supplies and pamphlets in accordance with HR protocol.
* Carefully prepares interview folders, new hire packets and new hire gift bags proactively.
* Schedules interviews for selected candidates and hiring Managers/VPs (including scheduling the conference room in advance).
Compiles and organizes potential candidate paperwork and sorts and provides to appropriate Managers/VPs for screenings and interviews.
Organizes, maintains, and purges candidate information, confidentially in accordance with HR protocols.
* Prepares conference rooms for interviews and meetings proactively and ensures they are stocked with any necessary and convenient items.
* Greets candidates prior to interview, communicating in a warm and welcoming manner.
* Assists with candidate communications as directed and ensures any sensitive communications are reviewed/approved by HR VP.
* Makes responsible purchases on ISYS’ behalf and ensuring cost containment and confidentiality of ISYS credit card information.
Retains receipts and submitting to finance department.
* Provides backup assistance to the receptionist office and stocking duties, ensuring the corporate office common areas stay clean and orderly, snacks are ordered and replenished, the coffeemaker is turned off by 5pm, plants are watered and that dishes are done routinely.
* Monitors and assists the general office suite for safety, cleanliness and organization and reports potential concerns.
* Maintains any HR related office equipment, including community use items such as the Keurig in the break room/conference/classroom.
* Provides attentive back-up and coverage of specific HR Specialist functions.
* May assist HR VP with occasional special assignments.
* When directed by HR VP, duties may adjust to include other HR assignments or administrative/executive assistant functions and may also provide assistance to other departments needing special projects or HR related tasks.
* Adjusts work shift as directed by HR VP.
For example, when preparing for staff orientations, or meetings, when it may be required * Ensures accurate and responsible timekeeping records for each workday and compliance with ISYS’ Non-Exempt record keeping policies, including taking lunch prior to the 5th hour of work and ensuring overtime is not worked unless specific approval is provided by the HR VP in advance.
*Knowledge, Skills, and Abilities*: * Understand ISYS’ Mission and Vision; and practice the Company’s Values.
* General knowledge of ISYS company policy and best internal practices.
* Demonstrated ability to maintain complete confidentiality at all times.
* Ability and willingness to act ethically, wisely, and prudently; to verify all work by double or triple checking, recognizing errors and addressing them appropriately.
* Strong attention to details.
* Demonstrated ability to follow directives, while working independently when appropriate.
* Excellent computer skills/literacy, and internet proficiency, with expertise in the Microsoft suite (including Excel and Power Point) * Excellent English language skills, speaking, writing, reading, and the ability to present information in an articulate and purposeful manner with consideration of all pertinent details.
* Willingness to learn, ask questions, and obtain more general or specialized knowledge in Human Resources, as needed.
* Polite, courteous, clear and professional communications at all times.
* Excellent verbal and written communication skills with demonstrated ability to listen attentively, follow direction, and respond appropriately to sensitive matters.
* Proactive research and problem-solving skills.
* Ability to conduct simultaneous responsibilities with strong organizational skills and prioritization.
* Ability to adjust work schedule when required/requested.
*Education and Experience*: * High School Diploma * Some related college education or continuing education certificate * 1-year related work experience.
