*Responsibilities:*
*Mail processing: *Handle incoming and outgoing mail efficiently, ensuring timely distribution to the members of the team, clients and others, as well as scanning and setting the documentation on the corresponding physical files.
*Translations:* Assist in translating consultations and communications for Spanish-speaking clients, ensuring clear and accurate interpretation.
*Filing and organization:* Maintain a systematic filing system for documents, contracts, and essential paperwork for all clients.
Keep the office space organized and conducive to productivity.
Perform administrative tasks such as data entry, filing, and photocopying
*Customer service: *Greet and welcome visitors in a professional and friendly manner.
Manage inbound and outbound phone calls , providing assistance and directing inquiries to the appropriate team members.
*Invoices and Billing:* Support in the creation and the processing of invoices, billing, financial documentation, and payment plans scheduling ensuring accuracy and adherence to protocols.
*New Client Onboarding:* Assist in organizing and managing contracts, ensuring all necessary documents are up-to-date and accessible to the legal team and to the client.
*Supply management:* Take care of ordering office supplies, maintaining inventory, and ensuring the workplace has the necessary resources for smooth operations.
*Booking consultations/meetings/rescheduling events: *Coordinate and schedule consultations with potential clients, meetings, and conferences, managing the calendar efficiently.
*Office Tidiness: *Take responsibility for maintaining a tidy and organized office environment, fostering a professional and welcoming atmosphere.
*Team Collaboration: *Work collaboratively with team members, providing support as needed, and contributing to the overall success of the office.
*Requirements:*
* Proficiency in both English and Spanish, with excellent written and verbal communication skills in both languages.
* Proven experience as a receptionist or administrative assistant
* Strong interpersonal skills and a positive, proactive attitude.
* Ability to manage multiple priorities and deadlines effectively
* Proficient in computerized systems, including Microsoft Office Suite (Word, Excel, Outlook).
* Excellent phone etiquette and communication skills
* Strong organizational and multitasking abilities
* Attention to detail for proofreading documents and maintaining accurate records
* Ability to handle confidential and sensitive information with discretion
* Familiarity with phone systems and office equipment
* Ability to adapt to a dynamic work environment.
* Experience/background in sales /customer service/reception as well as knowledge of law firm procedures and terminology is a plus- is a plus!
